Administrative Assistant

Climate Central seeks a thoughtful, experienced and effective Administrative Assistant to provide valued administrative support for the CEO of Climate Central, and additional support to the Programs and Development divisions, as needed. The Administrative Assistant will also play an important office-management role in support of the daily operations of the organization. This position reports to the Director of Administration and Legal Advisor. 

Responsibilities 

  • Provide administrative support for the CEO (approx 35%)

  • Manage and support calendar and contact database

  • Support meetings and calls, including logistics, written materials, food, supplies 

  • Plan travel and assemble expense reports

  • Write short emails for internal and external recipients relating to calendaring, travel, and other tasks

  • Manage timesheets

  • Seek, identify and fulfill other opportunities to support the CEO 

  • Provide administrative support for the VP of Programs (approx 10%)

    • Assist with calendaring

    • Plan travel and assemble expense reports

    • Write short emails for internal and external recipients relating to calendaring, travel, and other tasks

    • Assist with production and management of presentation materials

    • Other duties as assigned 

  • Provide administrative support for other members of the programs group  (approx 25%)

    • respond to inquiries about our tools, materials, and products, and fulfill product orders, including writing short emails for internal and external recipients

    • provide periodic support for calendaring 

    • provide periodic support for meetings and calls, including logistics, written materials, food, supplies 

    • assist with travel for events and expense reports

    • Other duties as assigned 

  • As time allows, assist Development staff (approx 10%)

    • Assist with mailings and other outreach to donors, gift acknowledgements, assist with travel logistics and itineraries, data updates in SalesForce, running simple donor and prospect reports, and special projects as assigned to advance our fundraising efforts. 

  • Support special projects, as needed and as time allows.

  • Support the administration department (approx 15%)

    • Order office supplies, including helping with vendor selection for quality, support, pricing

    • Interface with landlord for office-related issues, e.g., keys, repairs, parking passes 

    • provide periodic support for calendar and meetings

    • Monitor and maintain pantry supplies, and office kitchen; manage petty cash

    • Monitor phones and faxes; manage mail and shipping

    • Assist with office events including scheduling, logistics, food, travel and lodging

  • Support Human Resource functions (approx 5%):

    • Support recruiting efforts – placement of ads and monitoring of responses

    • Assist with timesheets management

Qualifications

  • 5 years of prior experience as an Administrative Assistant

  • Bachelor’s degree a plus

  • Ability to work with diverse teams

  • Ability to juggle multiple tasks, and shift to new tasks with some frequency during the course of the day

  • Proven organizational skills

  • Excellent communication skills, with proven ability to keep colleagues abreast of the progress and status of tasks as well as to know when to flag issues or ask questions for clarification

  • High level of attention to detail

  • Strong writing skills, with ability to compose well-written communications to both internal and external audiences

  • Strong computer skills – a fast learner comfortable with tech.  Current applications include:

  • Microsoft Office suite and Google G Suite (Mail, Sheets, Docs, Calendar, etc.)

  • Salesforce

  • Range of online tools for banks, vendors, donors

  • Range of other apps and add-ons for organization, productivity, email, etc.

  • Good listener, insightful, takes initiative

  • A highly positive and collegial attitude is essential 

Location
This position will be located at Climate Central’s headquarters in Princeton, N.J.
